Privacy Notice
Last updated: October 2026. This notice explains how DigiNote handles personal information under the Protection of Personal Information Act, 2013 (POPIA).
1. Who we are
DigiNote ("we", "us") provides delivery and collection note software and IT support services in South Africa. For this website and for our own enquiries, DigiNote is the "responsible party". Our Information Officer is Ivan, reachable at info@diginote.co.za.
2. This website
No cookies, no trackers. This website does not set cookies and does not use advertising or analytics trackers. Our web host keeps standard server logs (IP address, pages requested, browser type and time) for security and basic traffic statistics.
3. Enquiries you send us
What we collect: the name, company, email address, phone number, topic and message you type into the contact form. We also record the date and time, your IP address and the page you came from, to prevent spam and abuse.
Why: to reply to you, to quote or follow up on your request, and to keep a record of the enquiry. You choose what to send; fields marked optional can be left empty.
Where it goes: your message is emailed to us and a copy is stored privately on our web server so that an enquiry is not lost if an email fails. We do not add you to a mailing list and we do not sell or share your details for marketing.
How long we keep it: for as long as needed to deal with your request and for reasonable business records afterwards. You can ask us to delete it sooner.
Rate limiting: to stop abuse we keep a short-lived, hashed record of how often an IP address has used the form.
4. DigiNote software and the live demo
When a business uses DigiNote for its own deliveries and collections, that business decides what is recorded and why. It is the responsible party for its customers' information, and we process that information on its behalf as an "operator".
The application may record customer details, vehicle and driver details, signatures, photographs, timestamps and, where a feature asks for it and your browser allows it, precise location (GPS). It also records technical security information such as login activity, IP address, browser details and audit events.
The live demo works the same way and may record your IP address, browser details and, if you allow it, your location. Please do not enter real personal information in the demo. Demo data is shared, visible to other demo users and cleared from time to time.
5. IT services
When we repair a device, support a network or server, or work on a system, we may be able to see personal information stored on it. We only access what is needed to do the work. We do not keep copies of your data after a job unless you ask us to, other than records of the work itself.
6. Who we share information with
Only with service providers we need to run the website and our email (such as our web host and email provider), when required by law, or when you ask us to. Some providers may store data outside South Africa; where that happens we use providers that offer appropriate protection for personal information.
7. How we protect it
The website and the DigiNote application use HTTPS. Enquiry records are stored where the public cannot reach them, access is restricted, and we review and update our security regularly. No system is perfectly secure, but we take reasonable steps to prevent loss, damage and unauthorised access.
8. Your rights
You may ask us to confirm what personal information we hold about you, to see it, to correct it, to delete it, or to stop using it, and you may withdraw consent you have given. Email info@diginote.co.za and we will respond within a reasonable time.
If you believe we have not handled your information properly, you may complain to the Information Regulator of South Africa: inforegulator.org.za.
9. Children
This website and our services are aimed at businesses and adults. We do not knowingly collect children's personal information.
10. Changes
If we change how we handle personal information we will update this page and the date at the top.
